Privacy policy

What we collect, why we collect it, who we share it with, and what you can do about it. We handle personal information under the Privacy Act 1988 and the Australian Privacy Principles.

National Rural Press Club  ·  ABN 32 108 039 043

We never sell your information

Not to sponsors, not to anyone.

Sponsors get numbers, not names

We report our membership in aggregate only.

Card details never reach us

Payments are handled by our payment provider.

You can see and correct everything

Most of it from your own account page.

What we collect, and why

If you become a member

To create and administer your membership we collect your name and email address, your contact number, the organisation you work for and your position, and a membership number which we issue and which stays with you.

For corporate memberships we also collect the organisation’s name, its ABN where provided, and billing contact details.

We collect this because we cannot provide a membership without it. It lets us confirm who you are, contact you about events and renewals, and meet our record keeping obligations.

If you are added by your organisation or the club

Some memberships are set up for you rather than by you. Corporate members are nominated by the organisation that holds the corporate membership, sponsor representatives are nominated by the sponsoring organisation, and life members are added by the committee. In each case we receive your name and email address from that organisation or the committee and create an account for you. We will email you to let you know, and you have the same rights over your information as any other member.

If you were a member before the new website

When the club moved to this website in 2026 we carried over the names and email addresses on our previous membership list, so existing members did not have to join again. You can review and update these details from your account page, or ask us to remove them.

If you pay us

Payments are processed by our payment provider. We do not receive or store your full card number. We keep a record of the transaction, the amount, the date and the invoice, which we must retain for taxation purposes.

If you enter our awards

Award entries include the material you submit, any supporting files, and the contact details you provide. Entries are shared with the independent judging panel for that year’s awards.

If you attend our events

We record who has booked and any information you give us in connection with attendance. Events are held in public settings and may be photographed or recorded for the club’s reporting of its own activities.

When you visit the website

Our server records the usual technical information: your IP address, browser type, the pages you visit and when. This keeps the site secure and working. It is not used to build a profile of you.

Cookies

Logging in. When you log in we set cookies that keep you logged in and remember your display preferences. Login cookies last two days, or two weeks if you choose to be remembered. Display preferences last a year. Logging out removes them.

Your cart and checkout. If you are purchasing a membership, cookies keep track of what is in your cart while you complete the purchase.

Checking your browser accepts cookies. On the login page we set a temporary cookie containing no personal information, discarded when you close your browser.

We do not use cookies for advertising, and we do not sell information about your browsing to anybody.

Content embedded from other websites

Pages on this site may include embedded content such as videos or social media posts. Embedded content behaves as though you had visited that website directly, and those websites may collect information about you and set their own cookies. We have no control over what they collect, and their own privacy policies apply.

Who we share your information with

We share personal information only where it is necessary:

  • Our payment provider, to process your payment
  • Our email provider, to deliver membership and event emails
  • Our web host, which stores the site and its data
  • The independent judging panel, for award entries only
  • Our accountant and auditor, for financial records

If you request a password reset, your IP address is included in the reset email. That is a standard security measure.

We do not sell your personal information. We do not give sponsors access to member details. Where we tell a sponsor about our membership we do so in aggregate, for example how many members work in agricultural reporting, never as a list of names.

Some providers may store information outside Australia. We take reasonable steps to ensure they handle it consistently with the Australian Privacy Principles.

How long we keep it

Membership records, including your membership number and the dates you were a member, are kept while you are a member and afterwards as part of the club’s records. Your number stays with you, so if you rejoin you keep the same one.

Financial records, including invoices and payment records, are kept for five years, as Australian taxation law requires.

Membership activity records, such as when a renewal was sent or a payment taken, are kept for two years, so we can answer questions about billing.

Award entries are kept as part of the record of each year’s awards. Contact messages are kept while we deal with your enquiry and for a reasonable period afterwards.

Your rights

  • See what we hold. Members can view and update most of their information from their account page at any time. You can also ask us for a copy of everything we hold.
  • Correct it. If something is wrong, tell us and we will fix it. Members can change their own name, email address and contact details directly.
  • Ask us to delete it. We will delete what we can. We cannot delete records we are legally required to keep, such as financial records, and we will tell you when that applies and why.

Your membership number is issued by the club and cannot be changed by you, because it appears on invoices and in our financial records. Contact us if you believe it is wrong.

Keeping your information secure

The site uses encrypted connections. Access to member information is limited to committee members who need it to run the club. Payment card details never reach our systems.

No system is perfectly secure. If a data breach occurs that is likely to cause you serious harm, we will notify you and the Office of the Australian Information Commissioner, as the Notifiable Data Breaches scheme requires.
